Through our approval plan service, we send newly published books directly to your library, simplifying and streamlining your selection and acquisitions process. Our objective is not to replace the role of the acquisitions librarian but to empower them by optimizing time management. Our approval plans are tailored to your interests and needs, based on a collection development profile that you define. This profile includes criteria such as format, content, price, and coverage.

According to CERLAC (Centro Regional para el Fomento del Libro en América Latina, el Caribe, España y Portugal), 100,000 titles are published in Latin America each year, 60% of which come from Argentina and Brazil. We systematically review these publications to select titles that align with your specific collection development profile, facilitating your work and maximizing your budget.

Approval plans can be as extensive or selective as you wish, and you retain the right to modify or discontinue your approval plan at any time if you are dissatisfied or no longer interested in our materials.

Our trained staff specializes in identifying and selecting materials, generating orders, and providing data and confirmations for each client.

Our information system allows us to generate statistical reports for each client according to what they require, and we intend to send these reports periodically to our approval plan clients. The statistics include the current status of orders and claims, efficiency percentages, lists of items sent and returned, approximate annual costs, and total balances.

What is an “Approval Plan”

An approval plan is an agreement whereby a vendor supplies books to libraries based on a pre- determined profile and budget.

It is a service for library assistance, which includes identification, selection and delivery of new material, in our case with the goal of contributing to the collection development for Latin American studies. In order to achieve this, we have created a highly professional structure that enables us to access the whole publishing production of Argentina & Brazil, getting a total coverage in these countries.

How does an Approval Plan Service work?

Operative stages of an Approval Plan Service:

Identification: Every month, our experienced staff checks local ISBN records and establishes exchange agreements not only with academic and commercial publishers but with independent authors, non-profit institutions and governmental organizations. We also visit books fairs and regions that are distant from publishing centers, enabling an unsurpassable coverage.

Selection & analysis: The records for the purchased material are entered in our systems by the AP selector in order to be contrasted with the profile and mode that each library has previously chosen for the managing of their AP according to the topics of their interest and their budget possibilities.


Our software was specially designed to get as much information as possible so it allows us to do a very detailed analysis at the moment of selecting:

Avoids duplication: Identifies whether the book to be selected has been previously purchased by direct or standing orders.

Database checking: Automatically checks Worldcat database.

Catalogue delivery: with titles that have been selected but not sent to your library due to budgetary limitations.

Delivery and invoicing: After its approval, the material is placed in a box assigned exclusively to each library and sent regularly in amount of 21 titles with their corresponding invoice, imprint or PDF.

Through the years he have got the necessary experience to develop an approval plan service enough flexible to adapt to the different necessities of each library. That is why we can prepare a made-to-measure approval plan according to the specific interests of your collection considering criteria of academic level, topics and coverage areas.

• Quality criteria: We classify every material with a score from 1 to 10, according to our knowledge in relation to their academic quality and its relevance for the Latin American studies (prestige of the author, thematic, bibliography, publisher and extension are considered).

• Thematic criteria: It gives us the possibility of designing your approval plan with one, several or all the topics that interest you.

• Partial coverage of specific geographic areas (only available for Brazilian regions): Your AP can include only the material published in one, several or all the regions that interest you.


We will supply to you detailed information about budgets, thematic, academic qualities and coverage areas of catalogued material during the previous year for Argentina & Brazil so you can decide the final structure of your AP.

What is the benefit of having an Approval Plan Service?

The main benefit that libraries that decide to have an AP service achieve is to get an integral solution that considers their specific needs and contributes to the resources maximization whose global result intends a strategic development of their collections for Latin-American studies.

Libraries will get a comprehensive solution that fit their specific needs allowing them to obtain the material soon after being published, to reduce operating costs and to redirect resources to benefit the development of their collections.

Librería García Cambeiro relies on a scope of coverage that reaches all of the commercial and non-commercial publishers in Argentina and Brazil. This degree of coverage allows us to ensure the shipment of serial publications, whether they be monographic series, journals, magazines, newspapers, or any other continuing resource.

Due to our network of publishing contacts, LGC also offers the possibility of acquiring missing issues of discontinued series or collections.

We have both recent and out-of-print publications at our disposal. We can search for and acquire specific titles published in Argentina and Brazil. Our extensive stock gives us access to many rare and out-of-print titles, including books and serial publications. We provide an immediate response to any request.

Cataloging and other bibliographic services allow libraries to cut costs and save time with processing. Librería García Cambeiro offers MARC cataloging (full level or minimal level) and shelf-ready processing for our materials.


What can we say about the quality of our services?

Our catalogers have been trained by The Library of Congress (in the past with AACR2 & LCRI; at present using RDA & LC-PCC PSs). The work of our staff is permanently reviewed by them. We are offering three distinct options, which vary according the level of cataloging and the amount of additional processing provided:

Option 1

MARC Minimal Level Cataloging with No Additional Processing

Minimal level Cataloging (Encoding Level 7) verified and edited by our catalogers.

• LC Authority Control and creation, if necessary.

• Price: The cost is due to the editing, quality control, and authority control performed by our catalogers.


Option 2

MARC full level Cataloging with No Additional

Processing: Full level Cataloging.

• LC Authority Control and creation, if necessary.

• Subject cataloging with LCSH.

• LC classification.

• For each book it considers necessary we send on approval plan, an 856 field with a URL linked to scanned copies of the table of contents and other relevant parts of the book. This might help researchers quickly determine the book´s contents. The scanned images are stored in our own on-site server.


Option 3

MARC full Level Cataloging Plus Shelf-Ready Processing

• MARC full level cataloging, idem Option 2.

• Shelf-Ready technical processing according to your library´s needs.


It is important to remark that if you choose this service your library will have additional metadata for approximately 80% of the books we sent.

For each of those books, an 856 field with a URL linked to scanned copies of the table of contents and other relevant parts of the book.

This might help researchers quickly determine the book´s contents.

The scanned images are stored in our own on-site server that will be IP controlled in the near future.

Currently many libraries have in their catalog our records with the 856 field with the pdfs hosted in our server because they download the record from OCLC and we do not received nothing in exchange.


How do you prefer to receive your MARC records and invoices?

There are three different options; we just need to know which one is the most convenient for your Library:
